Agencies: managing clients
Keep each client’s voice, channels, and billing apart.
Should each client get their own workspace?
Give a client their own workspace when their billing, team, or data must stay apart from your other clients; otherwise one workspace with a publication per client is simpler.
One workspace, many publications: connect each client’s newsletter as its own publication. Each keeps its own voice and channels, and you see everything in one place. Billing for all of them goes on one subscription.
One workspace per client: create a separate workspace for a client when you want their billing, team, and data completely apart, for example if the client pays for it themselves.
Create a workspace for a client
- 1Open your avatar menu and choose New workspace.
- 2Fill in Workspace name with the client’s name and, if you like, add emails under Invite teammates (optional). Click Add another for more than one.
- 3Click Create workspace. Karrow opens the new workspace on its Dashboard.
- 4Connect the client’s newsletter and channels inside it.
How do I switch between client workspaces?
Open your avatar menu and pick the client’s workspace under Workspaces. The check mark shows the one you’re in, and switching takes you to that workspace’s Dashboard.
The same menu shows whether the workspace you’re in is on Free or Pro, which is worth a glance before you schedule for a client.
Need to be signed in with a different login for a client? Settings → Login → Add another account keeps both signed in on this device. Use Switch to beside an account to move between them.
Keep each voice distinct
Add channel rules in each publication’s Voice tab, for example a client who never uses emoji. Rules and learned tone stay with that publication only.
Drafts for a client only ever read that client’s own issues and posts, never another client’s, even in a shared workspace.
Learned tone is also kept per person, so a colleague who takes over a client starts from their own edits, not yours. If a voice starts drifting, open the Voice tab and use Reset learned tone. It clears only what Karrow learned from your own edits on that publication; the written rules stay.
Can a client pay for Karrow themselves?
Yes: put the client in their own workspace and subscribe from that workspace’s Settings → Billing with the client’s card. Each workspace has its own subscription, so their invoices never mix with yours.
The price is the same either way, $59 per publication a month or $590 a year, with all five channels included. That workspace’s Billing page lists the publications it’s billed for and its invoices.
Until that workspace subscribes, you can still connect the client’s newsletter and channels and prepare drafts there. Only scheduling and publishing wait for the subscription.
Rename a client’s workspace
If a client rebrands, change the name in Settings → General under Workspace name and click Save. Everyone in the workspace sees the new name in their avatar menu.
Can a client log in and approve posts?
Yes, invite them from Settings → Members, but they get the same access as you: there is no approve-only role.
That means a client invited into a shared workspace can see and act on every other client in it. Give that client their own workspace instead, then invite them there.
What happens when a client leaves?
In a shared workspace, disconnect the client’s newsletter in Settings → API keys. That removes their publication, its imported issues, and its channels, and your bill drops by one publication.
Disconnect works per key, and one beehiiv key can cover several publications. If the client’s newsletter shares a beehiiv key with other newsletters, disconnecting it removes all of them. Check the key’s card in Settings → API keys first: it lists every publication connected with that key.
If the client had their own workspace, open Settings → General and use Delete workspace. You type the workspace name to confirm, and it permanently removes the publications, posts, drafts, connected channels, and analytics in it. Cancel that workspace’s subscription first in Settings → Billing → Manage billing; Karrow won’t delete a workspace that is still billing.
