Key words in Karrow

Publication, issue, channel, option, draft, playbook, voice: what each one means.

What’s the difference between a workspace and a publication?

A workspace is your team and your billing; a publication is one connected newsletter inside it. One workspace can hold several publications.

Workspace: your team’s home in Karrow. It holds your publications, your team, and your billing. Everyone in a workspace has the same access. You can rename it in Settings → General, and start another one from the workspace switcher with New workspace, for example to keep a client’s billing separate.

Publication: one connected newsletter. Each publication has its own voice and its own channels, and it’s also what you pay for: four newsletters are four publications, which is $236 a month. Each publication has three tabs: Issues, Voice, and Channels.

Member: anyone in a workspace. Invite people by email from Settings → Members. There are no roles, so every member can do everything you can.

API key: how Karrow reads your newsletter. One beehiiv key can cover several publications (use Add publication in Settings → API keys), while a Ghost key covers one site.

Issues

Issue: one published edition of your newsletter. Issues are what Karrow drafts posts from.

When you connect, Karrow imports your 12 most recent issues and then checks for new ones every 15 minutes. You can draft from any imported issue, not just the latest one.

Batch: the set of drafts Karrow writes from one issue in one go, across every channel you picked. One issue in, one batch out.

Where posts go

Channel: a social account Karrow can post to, like your LinkedIn profile or a Facebook Page. Channels belong to a publication, so each newsletter only posts to the accounts connected under it.

Primary account: when a publication has more than one account on the same platform, the primary one is where posts go by default. Settings → Channels marks each account Primary or Not primary.

Reconnect needed: shown on a channel or a newsletter key that has stopped working, for example after you changed a password or revoked a key. Reconnecting fixes it; nothing you drafted is lost.

What’s the difference between an option and a draft?

An option is a suggestion Karrow wrote for you to choose from; a draft is the post you’re actually working on and will schedule.

Option: one of the AI suggestions Karrow drafts for a channel. You get three per channel by default, and you can set anywhere from 1 to 10 under AI options per channel; the Draft button shows the total, for example Draft 6 options. Click Regenerate to replace a channel’s unscheduled AI drafts with fresh ones; posts you wrote by hand or already scheduled stay put.

Draft: a post for one platform that you’re still working on. You can edit it freely, add images, and change which account it posts from.

Thread: on X and Threads, one post can be a chain of several, each with its own text and images. X allows 280 characters per post and Threads 500.

First comment: an optional reply Karrow posts right under your post, a good home for a link.

What do Draft, Scheduled, Posted, and Failed mean?

They’re the four stages a post moves through: Draft while you work on it, Scheduled once you pick a time, Posted once it’s live, and Failed if the platform turns it down.

A Scheduled post’s text is locked. You can still move it to another time, or choose Cancel scheduled post to turn it back into a Draft. A Failed post can’t be deleted straight away; choose Edit & reschedule, which turns it back into a Draft you can fix or delete.

Drafts without a time wait in the Unscheduled tray on the Posts page, ready to drag onto the calendar.

Post now: publishes a draft straight away instead of at a set time. Like scheduling, it counts as your approval.

Where things are

The rail on the left holds Dashboard, Posts, Playbooks, Analytics, and Publications, plus New post to start writing and Settings.

Settings is split into your own pages (Profile, Notifications, Login) and the workspace’s pages (General, Members, API keys, Channels, Billing). API keys is where your newsletter connections live; Channels is where your social accounts live.

How Karrow writes

Voice: how your publication sounds. Karrow learns it from your own recent issues and from what you keep, edit, and discard. You can add your own rules per channel in the publication’s Voice tab.

Learned tone: the short notes Karrow keeps about how you edit its drafts, per person, per publication, and per channel. You can clear them with Reset learned tone.

Playbook: a post format that’s working well right now, like a numbered list or a hook-and-payoff. A playbook shapes a draft’s structure, never its words or your voice. The Playbooks library is refreshed every week.

Plans

Free: no subscription. You can connect, draft, edit, and review as much as the daily drafting limit allows, but you can’t schedule or publish.

Pro: an active subscription, billed per publication. It adds scheduling, publishing, and saving playbooks to steer your drafts.
